When a patient books, Hopaby texts them a link to save a card. They read your cancellation policy, agree to it, and the appointment is confirmed. You haven’t asked for money, and nobody has written a card number on a form.
If they DNA, you apply the policy to the card they saved. If they turn up, you take payment as usual, with Tap to Pay on iPhone or a pay link. Either way the diary shows who has paid a deposit and whose slot is still held, before the day starts.

Your cancellation policy
Private physio clinics commonly ask for 24 hours' notice. A typical rule charges the full fee for a DNA and half for a cancellation inside 24 hours, and waives either when the slot is rebooked. The patient should read it and agree to it at the point of booking, and it should say plainly that an insurer may not cover the charge. A card saved at booking lets you apply the policy without a difficult conversation afterwards.

Questions and answers
Will my patient's insurer pay a DNA fee?
Usually not. Insurers normally cover treatment that took place, so a charge for a missed or late-cancelled appointment is between you and the patient. State that in your terms before the first appointment, and take the charge from the card the patient saved when they booked.
How do I take a card without writing the number down?
The patient gets a link by text, enters their card on a secure page and saves it. You never see or handle the number. The card is charged only under the cancellation policy they agreed to when they booked.
What does it cost for a team of physios?
Three team members are included on pay as you go, then it is £5 a month for each extra person. Pro has unlimited team members.
What do you do with clinical notes?
Nothing. Treatment notes, outcome measures and exercise plans stay in whatever you use for patient records now; Hopaby only deals with the booking and the money.
What should my DNA and late-cancellation policy say?
Say how much notice you need, what you charge for a DNA and for a late cancellation, and when you waive it. Keep it to a few lines. Many private clinics charge the full fee for a DNA and half inside 24 hours.
