A deposit holds the chair before the colour does

A full head of colour holds a chair for two and a half hours. When the client does not turn up, that is a Saturday gone, and the colour you mixed with it.

With Hopaby, a colour appointment isn’t confirmed until the deposit is paid. The client books on your own page, gets a pay link by text, taps it and pays. The appointment turns confirmed in your diary, with the consultation time, the toner and the finish all in the right order behind it.

Short services can skip the deposit. You choose the amount for each service, so a full head of colour at £120 can ask for a deposit while a £25 toner doesn’t.

And the rest, in the order that matters to you

Your cancellation policy

Many salons ask for a deposit on long services such as a full head of colour, and ask for 48 hours' notice to move one. Keep the deposit modest: the CMA's guidance says a deposit kept in full should not normally be more than a small percentage of the price, so a larger one needs a reason tied to what a late cancellation really costs you. Short services such as a cut and finish or a toner often need no deposit at all. Patch tests are your rule: many salons require one at least 48 hours before a first colour, so say so in your policy and keep the record wherever you keep it today.

Questions and answers

How much deposit should I take on a full head of colour?

There is no legal figure. The CMA's guidance says a deposit you keep in full should not normally be more than a small percentage of the price, and a larger one needs a reason tied to what a late cancellation costs you, such as colour time you cannot rebook. Set it by service in Hopaby: a deposit on the long, expensive appointments and none on a quick toner. Our guide on whether a salon can keep a deposit sets out the rules.

What about patch tests?

Many salons ask for a patch test at least 48 hours before a first colour appointment, and for a repeat patch test after a long gap. That is your rule to set and record. Hopaby handles the booking and the payment; keep patch test records wherever you keep them now.

Can I charge for the consultation?

You can book a consultation as its own service, with its own length and price, and take payment by pay link. Many salons make it a short booking that comes off the price of the colour if the client goes ahead.

What happens when a client cancels with a deposit paid?

That is decided by your policy, and the client sees it when they book. A common rule is that the deposit is kept if they cancel inside 48 hours and, with more notice, returned or, if you both prefer, kept for the new date.

Do my stylists need their own login?

Yes, each stylist can have their own diary. Three team members are included on pay as you go, then it is £5 a month for each extra person. Pro has unlimited team members.
