A diary with your services in it

New patient consultation 45 min £70
Follow-up 20 min £45
Treatment plan review 30 min £50

The slot is held by a card, not by a hope

Patients cancel on the day, and a reminder doesn’t bring the hour back. A card saved at booking does something a reminder can’t: it makes your policy real.

When a patient books a new patient consultation, they get a text link, read your cancellation terms and save a card. The appointment is confirmed, and you have not asked anyone for a deposit or written a number down.

If they DNA, you apply your policy to the card. If they arrive, you take payment at the desk with Tap to Pay on iPhone, or send a pay link for the treatment plan. The same booking page serves every practitioner in the clinic.

And the rest, in the order that matters to you

Your cancellation policy

Chiropractic and osteopathy clinics commonly ask for 24 hours' notice on a follow-up and 48 on a new patient consultation, which holds a longer slot. A typical rule charges the full fee for a DNA and half for a late cancellation, and waives either when the slot is rebooked. Put it in front of the patient at the point of booking, and say that an insurer or a plan may not cover the charge.

Hopaby handles your bookings, deposits and payments. It doesn't keep clinical notes, so keep case histories where they are now.

Questions and answers

Will a patient's insurer pay a DNA fee?

Usually not. Insurers normally cover treatment that took place, so a missed-appointment charge is between you and the patient. Say so in your terms, and take the charge from the card saved at booking.

Should a new patient consultation need more notice than a follow-up?

Many clinics ask for 48 hours on the consultation, because it holds 45 minutes, and 24 hours on a 20-minute follow-up. The notice period and the charge are set once for the whole practice, and the patient sees both when they book.

Can I sell a block of treatments as a plan?

Book the plan one appointment at a time, with a card saved at the first one. Each follow-up goes in the diary at its own length and price, and a DNA is dealt with under the same policy.

What does it cost for several practitioners?

Three team members are included on pay as you go, then it is £5 a month for each extra person. Pro has unlimited team members.

Does Hopaby store clinical notes?

No. Case histories and treatment plans stay in your current clinic software. Hopaby handles the booking, the card and the payment.
