Salon cancellation policy template, with deposit wording

Copy the wording below or download it as a Word file, and replace every [bracket] with your own details. It follows the CMA's guidance on deposits and cancellation charges; our guide to writing a salon deposit and cancellation policy explains what each part is for, and another answers whether a salon can keep a deposit. This is general information, not legal advice.

Fill in every [bracket] before you use this. There is no legal figure for a small percentage; the CMA says a deposit kept in full should not normally be more than a small percentage of the price, so keep it modest and tied to what a late cancellation costs you.

[Salon name] deposit and cancellation policy

Your deposit

To reserve your appointment we ask for a deposit of [X]% of the price of the service. You pay it when you book. It is taken off the price on the day, so you do not pay it twice.

The deposit holds your time. We hold the time for you and may turn other people away, so we keep it only in the cases set out below.

When you get your deposit back

You get the whole deposit back if you cancel or move your appointment more than [24] hours before it starts.

You get the whole deposit back, whatever the time, if we cancel, move the appointment to a time you cannot do, or cannot carry out the service (for example because we are ill or closed). We will return it within [5] working days of cancelling, to the card you paid with.

When we keep it

We keep the deposit if you cancel less than [24] hours before your appointment, if you do not arrive, or if you arrive more than [20] minutes late and there is no longer time to do the service you booked. We keep nothing in any other case, and the deposit is the most we keep.

How to cancel or move your appointment

Use the link in your confirmation email or reminder text to cancel; it takes a few seconds and works at any hour. To move your appointment, call or message us on [phone number]. We aim to find another customer for the time you give back, and any time we fill is one less cost to you.

We show this policy before you pay your deposit, and it is repeated in your confirmation email.
